List the data your business has
A short checklist before you export any files.
List where the work lives
Start with your inboxes, help desk, sales tools, documents, and task systems. List where requests, decisions, and results live.
Listing a tool does not connect it or give anyone access.
Describe each source in plain terms
For each source, note the owner, record types, dates, rough count, and format. Describe one task it shows.
Use a description. Do not paste customer details, messages, account numbers, or other private information into the form.
Map the links between records
A task may begin in email and end in a support ticket. Note how those records can be matched.
If you cannot confirm a link, say so.
Mark restrictions and open questions
Mark personal information, confidential work, material from others, and contract restrictions. Note who can answer the permission questions.
The list is ready for discussion when it explains what you have and what is uncertain.
